Senior Regional HR Services Specialist

This is a full-time role with the Regional HR  Services Team in Japan. This team falls under the HR Services business unit within the HR function. We are looking for a smart, self-motivated individual that can help us drive visible change to the way New hire onboarding, HR compliance and governance processes are run for VMware Japan. This individual will also be the senior most person in the Japan Regional Services team of 3 and will provide team leadership and be a liaison for other HR departments.

Role Purpose and Key Responsibilities

  • Provide a range of HR services that support and help drive operations like new  employee onboarding program, policy development and process improvements throughout the employee lifecycle. This position will report into the Sr Manager, HR Services APJ and will partner closely with the HR Business Partner, HR Management Partner, HR Services team and various COEs stakeholders such as – Talent Acquisition, Compensation & Benefits, HRIS and GPD to provide HR services for VMware in Japan. The incumbent will work with the teams responsible for HR services delivery in Japan and will be part of the wider APJ HR Services Regional team.

  • Manage day to day HR operations , operating processes that may leverage on regional and global COEs, including:

  • Manage and monitor local service providers to ensure the quality and accuracy of service delivery for employee benefits, immigration, insurance, provident fund etc.

  • Manage and monitor HR operations related payments

  • Handle employee queries regarding HR procedure, policy, benefits programs etc.

  • Design and work with global/regional COEs to roll out country specific implementation (e.g. policies, processes, systems) that are in line with regulatory requirements

  • Ensure compliance to HR policies, audit requirements and statutory reporting.

  • Administer benefits offering, notify and communicate with benefits team, benefits providers and liaise with payroll regarding new hire set ups and employee exits.

  • Implement key HR operational programs and plans, to support the Company's strategic objectives 

  • Understand the business environment and translate its effect on HR for local, regional and corporate feedback. Provide factual and relevant feedback to parties involved.

  • Improve HR Operations processes, including identification of problems and opportunities for enhancement of process parameters, definition and assessment of improvement options, and execution/projectmanagement for the respective initiatives.

  • Review the current portfolio of services provided by the Regional HR Services Team and identify opportunities for process improvements by eliminating redundancies,  through digitization, RPA and transition to other teams within HR Services 

  • Ability  look at the HR processes from an employee lens , to focus on employee experience while ensuring HR compliance requirements are met.

  • To constructively challenge status quo while reviewing, diagnosing and streamlining current internal processes.

  • Being able to look at the “big picture”, eliminate redundancies through value stream mapping and look to align processes globally where possible , without losing local nuances

  • Collaborate with other HR Functions/COEs and HRS internal teams for an end to end view , to be able to leverage internal resources, and contribute to enhancing the existing processes and practices.

  • Suggest and implement best practices for  managing the Regional HR Services support; use market and competitor analyses for benchmarking best practices

  • Champion VMware’s core values at all times and drive projects to provide  best in class employee, manager and HR experience from Regional HR Services

Experience/Skill Requirements:

  • Minimum of 8 years’ proven experience within HR field, preferably within an IT organization. HR Operations experience a must.

  • Fluent Japanese and English speaker.

  • HR qualification to degree level, post graduate a plus.

  • Experience of working in a high tech environment and a highly collaborative work environment

  • Strong drive to achieve with a proven track record of delivering results

  • Strong knowledge of statutory compliance requirements under local labor laws

  •  Self-motivated, collaborative and a strong focus on service delivery, quality and efficiency

  •  Experience with working in a team made up of diverse cultures and diverse business practices

  •  Experience and knowledge of managing and implementing new programs/initiatives

  •  Experience of identifying and building strong relationships with internal clients

  •  Strong attention to detail and quick turn around

  •  Excellent communication skills, written and verbal, with the ability to influence across multiple levels within the organization

  • Experience with HR Information systems such as Workday.

  • Innovative and passionate about driving  process enhancement opportunities
